Getting TreatPath running in your office

How long does it take to set up TreatPath?

Most practices are fully set up in under 5 minutes. The process is: download the installer, run it, enter your Anthropic API key in Settings, and you're ready. No IT department, no network configuration, no server setup required.

For the iPad connection, both the office computer and the iPad need to be on the same WiFi network. The app displays the iPad URL automatically once it's running.

What is an Anthropic API key and where do I get one?

The Anthropic API key is what powers TreatPath's AI features — the OCR that reads your Dentrix screenshot and the translation that converts procedure codes into plain English.

To get one:

  • Go to console.anthropic.com
  • Create a free account
  • Navigate to API Keys and create a new key
  • Copy and paste it into TreatPath's Settings screen

API usage costs are extremely low — typically less than $1 per month for an average dental practice. You pay Anthropic directly through your account, not through TreatPath.

Does TreatPath require an internet connection to run?

TreatPath itself runs entirely on your local network — the staff planner, iPad patient view, and dashboard all communicate within your office without needing the internet.

The only feature that requires an internet connection is the AI OCR translation — when you capture a screenshot, it sends the image to Anthropic's servers to read and translate it. This takes 2–5 seconds on a normal connection. Everything else — including the patient signing the plan — works completely offline.

Does my office need a server or IT infrastructure?

No. TreatPath runs as a desktop application on one workstation — typically the front desk computer or a dedicated treatment coordinator computer. The iPad connects to it over your office WiFi. No server, no network configuration, and no IT involvement is required.

For multi-location practices on the Practice plan, each location runs its own instance of TreatPath on its own computer. Plans are stored locally at each office.

How do I connect the iPad to TreatPath?

When TreatPath starts, it displays an iPad URL in the terminal — something like http://192.168.1.35:5000/patient. Open Safari on the iPad, type that URL, and bookmark it. From then on, staff just taps the bookmark before handing the iPad to a patient.

  • The iPad must be on the same WiFi network as the office computer
  • The URL may change if your network assigns a new IP — if it stops working, check the URL shown when TreatPath starts
  • We recommend adding the URL to the iPad's home screen as a web app for the cleanest experience

Privacy & security

How patient data is handled and protected

Does patient data ever leave our office?

Patient treatment plan data — names, procedures, costs, signatures — is stored in a local database on your office computer only. It never leaves your network and is never transmitted to TreatPath's servers or any third party.

The only data that leaves your office is the screenshot image sent to Anthropic's API for OCR processing. This image may contain procedure names and costs visible in your Dentrix screen. Anthropic does not store or train on API data per their data privacy policy.

For practices with strict HIPAA requirements, we recommend ensuring no patient-identifying information (names, DOB) is visible in the Dentrix screenshot before capturing. The OCR only needs to read the procedure codes and fees.

Is TreatPath HIPAA compliant?

TreatPath is designed with HIPAA-conscious architecture — patient data stays local on your computer, is never stored in the cloud, and never transmitted to TreatPath's servers. The local-first design is a significant compliance advantage over cloud-based alternatives.

For practices requiring a formal Business Associate Agreement (BAA), please contact us. A BAA with Anthropic for the API processing component is also available for Enterprise customers.

TreatPath is a software tool, not a legal compliance service. Your practice's HIPAA compliance is ultimately your responsibility. We recommend reviewing our data handling documentation with your compliance officer before rollout.

Where are signed treatment plans stored?

Signed treatment plans, including patient signatures and selected procedures, are stored in a local SQLite database file on the office computer running TreatPath. The file is located in the same folder as the TreatPath application.

We strongly recommend including this file in your regular backup routine. Plans are accessible through the staff dashboard and auto-archive after 12 hours following patient signature, but are never deleted unless manually removed.

What happens to data if we cancel our subscription?

Because all data is stored locally on your computer, canceling your TreatPath subscription has no effect on your historical plan data. It remains on your machine indefinitely. You retain full ownership and access to everything stored locally.

Canceling stops the software from receiving updates and eventually the license will deactivate, but your historical records are yours to keep.

Supported systems, devices, and software

What operating systems does TreatPath support?

TreatPath runs on:

  • macOS 12 (Monterey) and later
  • Windows 10 and Windows 11

Linux is not officially supported at this time. The iPad patient view runs in Safari on any iPad with iOS 14 or later.

Does TreatPath integrate directly with Dentrix or other practice management software?

Not yet. Currently, TreatPath reads treatment plans via screen capture — you draw a box around the treatment plan in Dentrix and the AI reads it. This works with any practice management software that displays treatment plans on screen, including Dentrix, Eaglesoft, Open Dental, and others.

Direct API integration with Dentrix is on our development roadmap. When available, this will eliminate the screen capture step entirely and allow plans to flow directly into TreatPath.

The screen capture approach works surprisingly well in practice — most staff find it faster than expected. The AI handles garbled text, unusual fonts, and partial views reliably.

What iPad models are supported?

TreatPath's patient view runs in Safari as a web app, so any iPad running iOS 14 or later is supported. This includes all iPad, iPad Air, iPad Mini, and iPad Pro models released from 2019 onward.

We recommend an iPad with at least a 10" screen for the best patient experience. The patient view is optimized for touch interaction and works best in landscape orientation.

Does it work if my office computers are wired (ethernet) only with no WiFi?

Yes — as long as your office router connects both wired and wireless devices on the same network (which virtually all office routers do by default), TreatPath works perfectly. The office computer connects via ethernet, the iPad connects via WiFi, and they communicate through the same router.

Your office computers do not need WiFi capability. Only the iPad needs wireless access.

How TreatPath works in practice

How does the AI read my treatment plan? Is it accurate?

TreatPath uses Claude — Anthropic's AI — to read a screenshot of your treatment plan. You draw a box around the treatment plan on screen, and the AI reads every visible row with a valid ADA procedure code and a non-zero fee. It simultaneously translates the clinical descriptions into plain English.

Accuracy is high on clean, direct screenshots. The AI uses its dental knowledge to correct garbled codes and truncated descriptions — even partially visible text is usually recovered correctly. Staff can review and manually edit any procedure before sending to the iPad.

Can patients modify their treatment plan on the iPad?

Yes. Patients can:

  • Select which tier (Urgent, Proactive, or Complete Care) they want to commit to
  • Remove individual procedures from their selected tier
  • Drag procedures between tiers to customize their plan
  • Adjust the financing term and provider to see different monthly payments

All modifications update the pricing and insurance deductions in real time. The signed plan records exactly what the patient selected, including any procedures they removed or moved.

How does insurance calculation work?

TreatPath supports two insurance modes:

  • Flat amount: Staff enters a dollar amount that's deducted from the total — quick and simple for when you already know the coverage
  • Detailed breakdown: Staff enters preventive %, basic %, and major % coverage rates plus an annual maximum. TreatPath automatically classifies each procedure by its ADA D-code and calculates the exact deduction per procedure

The detailed mode is recommended when calling the insurance company before the appointment. When the patient adjusts their plan on the iPad, the insurance deduction recalculates automatically.

What financing providers does TreatPath support?

TreatPath currently displays financing options for CareCredit, Cherry, and Sunbit — the three most common dental financing providers in the US. Patients can select their preferred provider and financing term (12, 24, 36, or 48 months) to see their estimated monthly payment.

TreatPath does not process financing applications — it only shows estimated payments. The actual financing application happens through the provider's own system after the patient has selected their plan.

How does the staff dashboard work?

The dashboard shows all signed treatment plans in real time. Key features:

  • Unread indicators — new signed plans appear with a blue highlight until reviewed
  • Search by patient name or date of birth
  • Filter by status — all plans, unread, or archived
  • Click any plan to see the full procedure list, insurance breakdown, total, and patient signature
  • Auto-archive — signed plans automatically archive 12 hours after signing
  • Print individual plan summaries directly from the dashboard

Plans, payments, and what's included

What's included in the free trial?

The 30-day free trial includes full access to all features on the Practice plan — behavioral DISC profiles, detailed insurance breakdown, unlimited treatment plans, iPad patient view, and the staff dashboard. No credit card is required to start.

After 30 days, you'll be prompted to choose a plan. If you don't subscribe, the software will stop accepting new plans but you'll retain access to your historical signed plans.

What counts as a "location" for billing purposes?

A location is a physical office address where TreatPath is installed and running. The Single Location plan covers one office with up to 3 workstations. The Multi-Location plan covers up to 5 offices with up to 5 workstations per location. Enterprise covers unlimited locations and unlimited workstations. Each office runs its own instance of TreatPath.

If you have more than 5 locations, the Enterprise plan covers unlimited locations with a centralized dashboard to view signed plans across all offices.

Are there any per-plan or usage-based fees?

No. TreatPath subscriptions are flat monthly fees with unlimited treatment plans. There are no per-plan, per-patient, or usage-based charges from TreatPath.

The only usage-based cost is your Anthropic API usage for the AI OCR feature, which you pay directly to Anthropic. For a typical dental practice running 10–20 plans per day, this is typically well under $5/month.

Can I cancel at any time?

Yes. There are no contracts or cancellation fees. You can cancel your subscription at any time and your access continues until the end of your current billing period.

All your locally stored plan data remains on your computer after cancellation — we never delete your records.

Behavioral assessment

Questions about the DISC system and how it works

Do we have to use the behavioral styles? Can we just use the default view?

Absolutely. The behavioral adaptation is completely optional — the toggle defaults to off and the standard presentation is designed to work well for every patient type. Many practices use the default view exclusively and still see significant improvements in case acceptance compared to no structured presentation at all.

The behavioral styles are an enhancement, not a requirement. We recommend trying them as you get comfortable with the system.

How do we identify a patient's behavioral style?

TreatPath provides a Behavioral Assessment Guide with 5 approved questions that can be added to your existing new patient intake forms. Staff reads the answers, identifies the dominant style in seconds, and selects it in TreatPath before sending the plan to the iPad.

Experienced staff often identify styles through observation alone — how a patient communicates at check-in is usually a reliable signal. The intake questions are primarily for new patients.

Is the DISC framework scientifically validated?

DISC is one of the most widely used behavioral assessment frameworks in the world, used by healthcare organizations, corporations, and clinical practices for decades. While it is a descriptive model rather than a clinical diagnostic tool, its practical application in communication and decision-making contexts is well-supported by behavioral research.

TreatPath uses DISC as a communication adaptation framework, not a psychological assessment. The goal is simply to present information in a way that feels natural to each patient — an approach supported by extensive research in health communication and patient decision-making psychology.

Troubleshooting

Common issues and how to resolve them

The iPad can't connect to TreatPath

This is almost always a network issue. Check the following:

  • Is TreatPath running on the office computer? The server must be running for the iPad to connect
  • Is the iPad on the same WiFi network as the office computer?
  • Is the URL correct? Check the IP address shown when TreatPath starts — it may have changed
  • Try typing the URL manually in Safari rather than using a bookmark — the IP may have changed since the bookmark was saved
If your office WiFi and wired network are on different subnets, the iPad won't be able to reach the office computer. Contact your IT provider to ensure both networks share the same subnet.

The screen capture isn't reading all procedures

A few things to check:

  • Make sure your capture box includes the full treatment plan table — all rows should be visible
  • Rows with $0.00 fees are intentionally excluded — these are administrative line items
  • Rows without valid ADA D-codes (like "LabFee", "del crn", "Seat Crn") are also excluded by design
  • If the Dentrix window is partially off-screen, scroll it into view before capturing

If legitimate procedures with fees are still being missed, take a clean screenshot with the window fully visible and try again. You can also manually type any missed procedures into the text box in the format D2740 - Porcelain Crown - $1289.

The AI translation is slow or times out

The AI translation requires an internet connection and calls Anthropic's servers. Slowness is usually caused by:

  • A slow or congested internet connection at the office
  • Occasional Anthropic API latency during high-traffic periods

If it times out, simply try again — most transient issues resolve on the second attempt. If slowness is persistent, check your internet connection speed. The AI call typically completes in 2–5 seconds on a standard connection.

A patient's plan isn't showing up on the dashboard

Check the following:

  • Was the plan sent to the iPad? Only plans that have been sent appear in the dashboard
  • Is the "Archived" filter selected? Plans may have been archived
  • Did the patient complete and sign the plan? Unsigned plans appear in a different state
  • Try refreshing the dashboard — it auto-refreshes every 20 seconds but a manual refresh ensures you're seeing the latest data

How do I reset TreatPath for the next patient?

After a patient completes and signs their plan, the iPad automatically shows a confirmation screen and then resets to the code entry screen after a short delay — no staff action required on the iPad side.

On the staff planner, clicking "Start over" clears all fields including the patient name, procedures, insurance, and behavioral style selection, ready for the next patient.
