Getting TreatPath running in your office

How long does it take to set up TreatPath?

Most practices are fully set up in under 5 minutes. Create your account, subscribe (or enter your access code), and open app.gettreatpath.com/planner in Google Chrome (Chrome specifically — other browsers may cause problems). No downloads, no installation, no IT department required.

The iPad just needs any internet connection — office WiFi, a hotspot, anything. It connects to TreatPath's cloud server, not the office computer directly.

Do I need an Anthropic API key?

No. AI costs are included in your TreatPath subscription. You don't need an Anthropic account, an API key, or anything to configure — it's handled on our end, on an environment covered by a signed Business Associate Agreement.

Does TreatPath require an internet connection to run?

+

Yes. TreatPath is a cloud application — the staff planner, the patient iPad view and the dashboard all run in a browser and connect over the internet. There is no offline mode.

In practice this means the staff computer and the iPad each need their own working connection. They don't need to be on the same network, or even in the same building: the iPad can be on office WiFi, a guest network or a phone hotspot and it will still open the correct plan.

Does my office need a server or IT infrastructure?

No. TreatPath runs in the browser — nothing to install and no server to maintain. Staff open it in Chrome on whichever computer they're using, and the patient iPad opens your practice's own link. No network configuration and no IT involvement required.

Multi-location practices get a separate TreatPath account per location, each with its own data. Nothing is stored on office computers — plans live in TreatPath's cloud, isolated per practice, and staff at one location cannot see another location's plans.

How do I connect the iPad to TreatPath?

When TreatPath starts, it displays an iPad URL in the terminal — something like app.gettreatpath.com/patient?office=ABC. Open Safari on the iPad, type that URL, and bookmark it. From then on, staff just taps the bookmark before handing the iPad to a patient.

  • The iPad just needs any internet connection
  • The URL may change if your network assigns a new IP — if it stops working, check the URL shown when TreatPath starts
  • We recommend adding the URL to the iPad's home screen as a web app for the cleanest experience

Privacy & security

How patient data is handled and protected

Does patient data ever leave our office?

Treatment plan data — names, procedures, costs and signatures — is stored on TreatPath's cloud infrastructure so your staff computer and the patient iPad stay in sync. It's encrypted in transit and at rest, and each practice's data is isolated from every other practice's.

Two things involve outside services, and we'd rather be direct about them: plans are stored with a cloud database provider, and when you scan a treatment plan the image is sent to an AI provider to read the procedures and fees. We have executed Business Associate Agreements with both, each on a HIPAA-configured environment. Nothing else leaves the system — our error monitoring is configured to exclude patient information entirely, and we verify that.

The scan image may contain whatever is visible on your PMS screen, including patient identifiers. That is expected and covered: the AI provider processes it under a signed Business Associate Agreement on a zero-retention configuration, and does not train on it.

Good practice either way: capture only the treatment plan portion of the screen. It keeps the scan cleaner and gives the AI less irrelevant material to read.

Is TreatPath HIPAA compliant?

TreatPath stores and processes protected health information on your practice's behalf, which makes us a business associate under HIPAA. That means a signed Business Associate Agreement is required before you use TreatPath with patient information — request one at support@gettreatpath.com.

Worth knowing: HIPAA has no certification programme for software, so any vendor claiming to be "HIPAA certified" is describing something that doesn't exist. A practice is compliant; software is built to support that. TreatPath provides encryption in transit and at rest, per-practice data isolation, access logging, and automatic sign-out after inactivity. Our Security page lists every control and how it works.

Our own subprocessors are already covered: we hold executed Business Associate Agreements with our cloud database, hosting and AI providers, each on a HIPAA-configured environment. That is in place for every practice, not an add-on for larger accounts.

TreatPath is a software tool, not a legal compliance service. Your practice's HIPAA compliance is ultimately your responsibility. We recommend reviewing our data handling documentation with your compliance officer before rollout.

Where are signed treatment plans stored?

Signed treatment plans, including patient signatures and selected procedures, are stored in our cloud database, encrypted in transit and at rest, with each practice's data isolated to that practice. Storage operates under an executed Business Associate Agreement.

Plans are accessible through the staff dashboard and can be archived manually at any time. Archived plans remain viewable and restorable, and are never deleted unless manually removed. Your practice management system remains the system of record for original treatment plans.

What happens to data if we cancel our subscription?

Your plan data belongs to your practice. Before you cancel, you can export your signed plans as PDFs and we'll provide a full export of your records on request. Tell us when you'd like your data deleted from our systems and we'll confirm once it's done.

Canceling stops the software from receiving updates and eventually the license will deactivate, but your historical records are yours to keep.

Supported systems, devices, and software

What operating systems does TreatPath support?

TreatPath runs on:

  • macOS 12 (Monterey) and later
  • Windows 10 and Windows 11

Linux is not officially supported at this time. The iPad patient view runs in Safari on any iPad with iOS 14 or later.

Which browser should staff use?

+

Google Chrome, on the staff computer. TreatPath is designed and tested for Chrome specifically. Other browsers — Safari, Firefox, Microsoft Edge — are not supported and may cause problems: capture-from-screen, staff sign-in and the dashboard rely on Chrome behaviour. Chrome is free at google.com/chrome.

The patient iPad is the one exception: the patient view runs in Safari on the iPad (or Chrome on an Android tablet).

Does TreatPath integrate directly with your PMS or other practice management software?

Not yet. TreatPath reads treatment plans via photo upload — staff take a photo or screenshot of the treatment plan from their PMS and upload it. The AI reads, translates, and sorts procedures instantly. This works with any PMS that displays treatment plans on screen, including Dentrix, Eaglesoft, Open Dental, and most others.

Direct API integration with major PMS platforms is on our development roadmap. When available, this will eliminate the photo upload step entirely and allow plans to flow directly into TreatPath.

The photo upload approach works surprisingly well in practice — most staff find it faster than expected. The AI handles different fonts, layouts, and partial views reliably.

What iPad models are supported?

TreatPath's patient view runs in Safari as a web app, so any iPad running iOS 14 or later is supported. This includes all iPad, iPad Air, iPad Mini, and iPad Pro models released from 2019 onward.

We recommend an iPad with at least a 10" screen for the best patient experience. The patient view is optimized for touch interaction and works best in landscape orientation.

Does it work if my office computers are wired (ethernet) only with no WiFi?

Yes. The staff computer and the iPad each connect to app.gettreatpath.com over the internet, independently of one another — they never talk to each other directly, so they don't need to share a network.

A wired-only office computer is fine. Only the iPad needs a wireless connection, and any wireless connection will do.

How TreatPath works in practice

How does the AI read my treatment plan? Is it accurate?

+

TreatPath uses Claude — Anthropic's AI — to read a screenshot of your treatment plan. You take a photo of the treatment plan on screen, and the AI reads every visible row with a valid ADA procedure code and a non-zero fee. It simultaneously translates the clinical descriptions into plain English.

Accuracy is high on clean, direct screenshots. The AI uses its dental knowledge to correct garbled codes and truncated descriptions — even partially visible text is usually recovered correctly. Staff can review and manually edit any procedure before sending to the iPad.

Can patients modify their treatment plan on the iPad?

Yes. Patients can:

  • Select which tier (Urgent, Proactive, or Complete Care) they want to commit to
  • Remove individual procedures from their selected tier
  • Drag procedures between tiers to customize their plan
  • Adjust the financing term and provider to see different monthly payments

All modifications update the pricing and insurance deductions in real time. The signed plan records exactly what the patient selected, including any procedures they removed or moved.

How does insurance calculation work?

TreatPath supports two insurance modes:

  • Flat amount: Staff enters a dollar amount that's deducted from the total — quick and simple for when you already know the coverage
  • Detailed breakdown: Staff enters preventive %, basic %, and major % coverage rates plus an annual maximum. TreatPath automatically classifies each procedure by its ADA D-code and calculates the exact deduction per procedure

The detailed mode is recommended when calling the insurance company before the appointment. When the patient adjusts their plan on the iPad, the insurance deduction recalculates automatically.

What financing providers does TreatPath support?

TreatPath currently displays financing options for CareCredit, Cherry, and Sunbit — the three most common dental financing providers in the US. Patients can select their preferred provider and financing term (12, 24, 36, or 48 months) to see their estimated monthly payment.

TreatPath does not process financing applications — it only shows estimated payments. The actual financing application happens through the provider's own system after the patient has selected their plan.

How does the staff dashboard work?

The dashboard shows all signed treatment plans in real time. Key features:

  • Unread indicators — new signed plans appear with a blue highlight until reviewed
  • Search by patient name
  • Filter by status — all plans, unread, or archived
  • Click any plan to see the full procedure list, insurance breakdown, total, and patient signature
  • Archiving — move older signed plans out of the main list, with one-click restore
  • Print individual plan summaries directly from the dashboard

Pricing & billing

Plans, payments, and what's included

Is there a free trial?

Trial access is arranged directly with the TreatPath team rather than self-serve — reach out at support@gettreatpath.com and we'll set your office up with an access code, typically with full access to every feature: behavioral profiles, insurance breakdown, unlimited treatment plans, the iPad patient view, and the staff dashboard. No credit card is required.

When your trial ends, you subscribe from your practice portal at gettreatpath.com — a couple of minutes with a card. If you don't subscribe, the software stops accepting new plans but you keep read access to every historical signed plan.

What counts as a "location" for billing purposes?

A location is a physical office address, and each location gets its own TreatPath office — its own plans, team, iPad link and dashboard, isolated from the others. The Single Office plan covers one location at $299.99/month. Groups of 2–10 locations pay $199.99/month per location; we set those up for you personally. Since TreatPath is cloud-based, there's no limit on workstations within a location — any computer with Google Chrome can access it.

Are there any per-plan or usage-based fees?

No. TreatPath subscriptions are flat monthly fees with unlimited treatment plans. There are no per-plan, per-patient, or usage-based charges from TreatPath.

That includes the AI scanning. There is no separate API bill and no third-party account to set up — the AI cost is ours, not yours.

Can I cancel at any time?

+

Yes. There are no contracts or cancellation fees. You can cancel your subscription at any time and your access continues until the end of your current billing period. To do it: sign in to your portal at gettreatpath.com, open Billing → Manage billing, and choose Cancel plan. You can resume from the same place any time before the period ends.

Export your signed plans before you cancel, or ask us for a full export at any time. We won't delete your practice's records without your instruction.

How do I subscribe, and how am I billed?

Sign in to your practice portal at gettreatpath.com and use the TreatPath Subscription card — one form, a couple of minutes. Payment is by card through Stripe, billed monthly on the day you subscribe; a receipt is emailed each month. TreatPath never sees or stores your card details.

Your access switches on the moment the payment goes through. If you're on a trial access code, subscribing simply takes over from the code — no gap, nothing to re-enter.

What happens if a card payment fails?

Nothing dramatic. TreatPath keeps working for 7 days while Stripe retries the card automatically, and your portal and dashboard show a notice that the payment didn't go through. Update the card in Billing → Manage billing on your portal and it clears immediately.

If it still hasn't been paid after that week, the office drops to read-only — every past plan stays viewable, printable and exportable, but new plans pause — until a payment succeeds. Nothing is ever deleted.

How do I update the card on file?

Portal → Billing → Manage billing. That opens Stripe's secure billing page for your practice, where you can change the card, download past invoices, or cancel. Card details are entered on Stripe's page, never on ours.

Do you offer refunds?

+

Subscriptions are month to month with no minimum term, so the usual answer is: cancel whenever you like and keep access through the end of the period you've already paid for — we don't prorate partial months. If something has gone wrong with a charge, email support@gettreatpath.com and a person will sort it out.

Behavioral assessment

Questions about the DISC system and how it works

Do we have to use the behavioral styles? Can we just use the default view?

+

Absolutely. The behavioral adaptation is completely optional — the toggle defaults to off and the standard presentation is designed to work well for every patient type. Many practices use the default view exclusively and still see significant improvements in case acceptance compared to no structured presentation at all.

The behavioral styles are an enhancement, not a requirement. We recommend trying them as you get comfortable with the system.

How do we identify a patient's behavioral style?

+

TreatPath provides a Behavioral Assessment Guide with 5 approved questions that can be added to your existing new patient intake forms. Staff reads the answers, identifies the dominant style in seconds, and selects it in TreatPath before sending the plan to the iPad.

Experienced staff often identify styles through observation alone — how a patient communicates at check-in is usually a reliable signal. The intake questions are primarily for new patients.

Is the DISC framework scientifically validated?

DISC is one of the most widely used behavioral assessment frameworks in the world, used by healthcare organizations, corporations, and clinical practices for decades. While it is a descriptive model rather than a clinical diagnostic tool, its practical application in communication and decision-making contexts is well-supported by behavioral research.

TreatPath uses DISC as a communication adaptation framework, not a psychological assessment. The goal is simply to present information in a way that feels natural to each patient — an approach supported by extensive research in health communication and patient decision-making psychology.

Troubleshooting

Common issues and how to resolve them

The planner or dashboard opened as a different office

+

The portal (gettreatpath.com) and the app (app.gettreatpath.com) keep separate sign-ins, so on a shared computer the app can remember an office someone else opened. The fix is built in: open the planner or dashboard from your portal's Launch tiles and the app signs in as the office you're logged into there, every time.

If it still shows another practice, click Sign out in the app's header, return to the portal, and use the Launch tile again. A typed or bookmarked app link opens whichever office the app last remembered — that's expected; use the portal tiles when switching offices.

The iPad can't connect to TreatPath

The iPad connects to TreatPath over the internet, not to your office computer, so this is nearly always the connection or the code. Check:

  • Is the iPad online? Open any website in Safari to confirm
  • Is the plan code typed correctly? They are case-insensitive but every character matters
  • Has the plan already been signed? A signed plan won't reopen for editing
  • Try app.gettreatpath.com directly rather than an old bookmark
The office computer does not need to be on, and the iPad does not need to be on your office network. A phone hotspot works just as well as office WiFi.

The OCR isn't reading all procedures

A few things to check:

  • Make sure your capture box includes the full treatment plan table — all rows should be visible
  • In Chrome's share dialog, pick the Window tab and your practice software's window (or Entire Screen for the monitor it's on). "Chrome Tab" only sees Chrome itself, so the picture will show TreatPath instead of the plan
  • $0 seat/delivery rows and lab fees ("del crn", "LabFee") are not lost — TreatPath folds them into the crown, implant or veneer they belong to, so the patient sees one treatment
  • The practice software window must not be minimized; it can be behind Chrome

If legitimate procedures with fees are still being missed, take a clean screenshot with the window fully visible and try again. You can also manually type any missed procedures into the text box in the format D2740 - Porcelain Crown - $1289.

The AI translation is slow or times out

+

The AI translation requires an internet connection and calls Anthropic's servers. Slowness is usually caused by:

  • A slow or congested internet connection at the office
  • Occasional Anthropic API latency during high-traffic periods

If it times out, simply try again — most transient issues resolve on the second attempt. If slowness is persistent, check your internet connection speed. The AI call typically completes in 2–5 seconds on a standard connection.

A patient's plan isn't showing up on the dashboard

Check the following:

  • Was the plan sent to the iPad? Only plans that have been sent appear in the dashboard
  • Is the "Archived" filter selected? Plans may have been archived
  • Did the patient complete and sign the plan? Unsigned plans appear in a different state
  • Try refreshing the dashboard — it auto-refreshes every 20 seconds but a manual refresh ensures you're seeing the latest data

How do I reset TreatPath for the next patient?

+

After a patient completes and signs their plan, the iPad automatically shows a confirmation screen and then resets to the code entry screen after a short delay — no staff action required on the iPad side.

On the staff planner, clicking "Start over" clears all fields including the patient name, procedures, insurance, and behavioral style selection, ready for the next patient.

Can multiple staff members use TreatPath at the same time?

+

Yes — any staff member with your TreatPath credentials can use the planner from any computer. Since it's cloud-based, multiple team members can access it simultaneously from different devices. Per-staff analytics and individual login profiles are on the development roadmap.

What happens if the internet goes down mid-presentation?

+

Any plan already loaded on the iPad will remain visible. The patient can still review their options — they just won't be able to submit their signature until connectivity is restored. For critical presentations, make sure your office has a reliable internet connection.

Can I edit a plan after it's been sent to the iPad?

+

Yes — make your changes in the staff planner and click Send again. The patient view will reflect the updated plan the next time it's loaded. Any unsigned plan can be overwritten this way.

How does the AI insight on the analytics dashboard work?

+

TreatPath analyzes your acceptance data across behavioral styles, tiers, and time periods and generates a plain-English insight telling your team where to focus. For example: "Your D-style patients are accepting at 48% — 30 points below C-style. Faster, ROI-focused presentations could recover significant case value." Insights refresh automatically as new plans come in and can be manually refreshed anytime.

Does TreatPath work on Android tablets?

Yes — the patient view works in Chrome on any Android tablet. We recommend iPad for the best experience since the UI is optimized for Safari on iOS, but Android works well for practices that prefer it.

What if a patient doesn't want to sign digitally?

+

Digital signature is optional. The plan will remain unsigned in the dashboard. Staff can also print a full summary of the plan directly from the dashboard for patients who prefer paper.

Is there a mobile app?

+

Not currently — TreatPath is a web app. Staff use it in Google Chrome on a computer; patients use the iPad view. On iPhone or Android you can add it to your home screen for a full-screen app-like experience. A native iOS app is something we're evaluating for future versions.

How do I get support?

Patients: if you've received a treatment plan and have questions about it, please contact your dental office rather than us.
